RESPONSIBILITIES:

  • Development and implementation of the operational concept of VIP guest service;
  • Ensure smooth organization of the Hospitality space during the European Games 2023 and all related events (space arrangement, branding, access rules, service rules, accompanying programs);
  • Development of the project implementation schedule, ongoing reporting on the implementation of tasks; Implementation of the project in accordance with the approved budget plan;

RESPONSIBILITIES:

  • Support in finalizing service specifications, menu concepts, consumer volume metrics for each benefit;
  • Market analysis, establishing relationships with potential caterers, analyzing commercial offers and negotiating to get the best value for money;
  • Developing key documentation with the catering operations manager and legal and procurement departments at all stages of the bidding process;
  • Work with caterers and subcontractors to develop the highest quality of catering services (also in the form of training, webinars, tasting panels) providing them with information on the quantity and locations of catering services, delivery system, accreditation, operating rules within the event including assisting in the development and implementation of educational sessions for subcontractors to improve cooperation and standardize the standard of catering services throughout the event;
  • Establish relationships and work with potential HoReCa and FMCG partners to optimize benefit costs;
  • Participate in Hospitality Division team meetings and Catering Operations team meetings, monthly progress reporting;
  • Managing contractual and commercial deadlines and responsibilities between the Hospitality Division and contracted subcontractors from order placement to contract termination;
  • Planning space and media requirements for catering operations and working in collaboration with other departments and subcontractors to arrange them with the aim of optimally serving consumers at the highest level with the highest safety standards;
  • Develop operational standards for catering operations at all official locations;
  • Together with the manager and other department staff, develop plans and coordinate implementation for global activities such as water distribution during the event, among others;

  • Verification of subcontractors’ activities to meet national and international legal standards related to food safety and hygiene;
  • In the Operational Phase, depending on the function;
  • Planning and supervising the work of catering operations coordinators at each location during the operational phase of the event, motivating them, managing the work of the team, coordinating reporting;
  • Conducting daily briefings of catering operations coordinators from each location;
  • Work with volunteers assigned to the Hospitality department;
  • Conducting daily check-ins with the location’s catering provider(s);
  • Monitor and coordinate the work of the caterer(s) at the assigned location(s) for verification with contract and objectives, reporting;

REQUIREMENTS:

  • Minimum of 5 years of experience in the catering or hospitality industry in min. specialist level activities related to the organization of mass catering at events, including international and sports events;
  • Knowledge of international and local cultural conditions related to food and nutrition;
  • Experience working in sports venues as well as within hotel space and temporary catering infrastructure;
  • Experience and understanding of the stages of the planning phase and operations involved in the delivery of quality Hospitality Services, particularly food and beverage services;
  • Experience in procurement procedures and formulation of contracts for catering services;
  • Experience coordinating an operations team consisting of direct reports, multiple contractors and service providers;
  • Experience interacting with demanding clients, VIP/VVIP guests;
  • Possession of a university degree in management, hospitality, catering, human nutrition or related field;
